Security & Access Control

I would like clarification around the types of users and what they have access to.

There are four default groups of users: board members, property managers, owners, and renters. Each group can be given access to each set feature. By default, the board & property managers have full access, while the owners and renters are read only. The groups can be expanded to add as many as you want. For example, you can add groups like "finance committee" or "social committee."

Do you support the concept of Web Master where the ability to customize the site is tightly controlled?

Yes, for example if you only wanted 1 or 2 board members to have administrative rights, we can set up an “administrator” group for those people, and the rest of the board members can view board documents, but not administer the site.

Is document security at the folder level or document level?

Security is at the folder level. Each group can be given one of three levels of access to each folder: full access (this includes the ability to revise, add and delete documents and sub folders), read access, or no access.

Are folders visible to those that don't have access to them?

No, they are not: they don't show up at all.

Account Types

Does it accommodate renters?

Yes, the system comes with a group for renters, and their access can be customized however you like.

Can you have two owners (e.g., both spouses) for a given unit? Do they both receive the owner communications?

Yes, you can. Each can owner can access the system with their own email address and preferences.

Does having multiple owners and renters impact pricing?

No. Pricing is based on condominium size (number of units) so each unit can have as many users as necessary.

Software as a Service (SaaS)

Please explain the “Software as a service” concept.

With “Software as a service”, instead of buying software and running it on your computer, the software runs on our server and you pay a fee to use it. Think of it like an apartment building. Each apartment has the same design and features, but you can customize your apartment and store whatever you want in it without affecting your neighbours. Software as a Service works much the same way. Software as a Service is easier for the customer because you don’t have to install the software on your system or worry about software updates. In addition, your data is safely stored on our server and backed up regularly, so if your computer breaks down, you won’t lose your data. Finally, your information is accessible from anywhere in the world instead of being tied to only one computer.

Who owns the software?

Condo Control Central owns the software and makes regular updates to it. You pay a fee to use it.

Who owns the data and files we load into the system? Is our data locked in to your system?

It is your data, you own it, and you retain full control of it. Your data is not locked in at all. If for any reason you require a copy of your data, we can make it available to you on a CD or DVD for a nominal fee.

What do you do to protect the security of our data?

This is a common concern people have with “Software as a Service” because your data is stored by the provider. To address these concerns, our company and suppliers follow strict procedures to ensure there is never any unauthorized access to your information.
